Room Transfer Process: 

Room Transfers

Room transfers requested prior to the opening of school in the fall will be permitted on a space-available basis only. Once the academic year begins, room changes will not occur during a semester.

Room Transfer Appeal

Some extenuating circumstances (e.g., health concerns, safety issues, etc.) may necessitate a room change prior to the end of a semester. If a student believes their situation may require an exception to the room transfer policy, they may contact their RD to begin the appeal process.  Room Transfer Appeal forms will be reviewed by a committee on an as-needed basis.  Appeals will be considered on one or more of the following grounds:

1.  New information not available or not previously considered regarding your housing situation.

2.  Documented physical or emotional concerns that are affected by the current room placement.

3.  Threat or harm to a student’s physical well-being.

A student who believes he/she has a compelling reason or an extenuating circumstance for moving rooms must first contact their Resident Director (RD). Requesting a new room with any Residence Life Staff members does not guarantee a student will receive a new room. Before students enter the room transfer process, they should consider there may be other solution-oriented paths required by the Student Life Office to pursue to resolve their situation.It is the expectation of the University that a student engages and collaborates in the process as put forth by the Student Life OfficeRoom transfer process: Any pursuit of a room transfer must begin with the RA or RD. Requests initiated by anyone other than the resident will not be considered. Room changes will only be set in motion once a resident director Residence Life has observed evidence of good-faith efforts to resolve any issue(s) (e.g., completing a Roommate Agreement Form, setting up a roommate meeting with your RA, etc.).

Steps for Room Transfer

  1. Student must have a conversation with his/her RD to discuss their desire to move and reason for doing so. Reasons for transferring rooms could include:
    1. Physical or emotional concerns that are affected by the current room placement
    2. New information not available or not previously considered regarding your housing situation
  2. The RD will either suggest an alternative route to resolve the desire to move or will send the student a Room Change Request Form.
    1. Requests to move to single and/or empty room will not be granted
    2. Filling out a Room Change Request Form does not guarantee room change
    3. Requests to move to a specific room are not guaranteed 
  3. Completed room requests will be reviewed by a Residence Life Committee and a final decision will be communicated via email by a Residence Life Dean.

Depending on the request for transferring rooms, you may be asked to follow our Roommate Mediation Steps:

  1. Initiate conversation with roommate(s) to try to resolve the situation
  2. Discuss the situation with your RA
  3. Revisit Roommate Agreement Form w/ RA
  4. Mediation with Roommate(s) and RA, follow-up conversation with the RA
  5. Mediation with Roommate(s) and RD, follow-up conversation with the RD
  6. Additional steps as determined by the RD

A $75 room transfer administration fee will be assessed if your request is granted. 

If a room transfer appears to be appropriate the RD will direct the student to complete the proper form (Room Transfer Appeal or Mid-Year Room Transfer Request). Student are expected to work with staff to identify available room transfer options. All room changes require the prior permission of both the current and future (if applicable) resident directors. If students change rooms without following proper procedureprocedures, they will may be required to return to their previous housing until the appropriate procedure is followed and/or an . An improper checkout fine will may be assessed.

Mid-year room transfer policy: Students who believe they have a compelling reason for moving rooms mid-year (during finals week of December or Interim break of January) must contact their RD to receive the Mid-Year Room Transfer Request form. There are two deadlines to submit this form; before November 10th to move during finals week of December or before December 15 to move over the January Interim break.

Students must identify an open room that they desire to move into before they submit the request.  Requests will be reviewed by a committee. Before students pursue a room transfer, they should consider that there may be a better solution to resolving a situation than moving rooms.

 

Once approved, all room transfer requests will be coordinated by the Residence Life Office.


When there are one or more vacant spots in a room, suite, or apartment, the Residence Life Office may assign a new roommate to the open spot per the terms of the Housing Agreement Lease. Should the occupancy of the room, suite, or apartment be 50% or less capacity, the Residence Life Office reserves the right to consolidate spaces if necessary.
