There are two types of Webex accounts. There is a free version of Webex that is much like free version of Zoom, where Webex users are allowed up to 40 minute meetings with a capacity limit of 100 people. Anything beyond those two numbers requires a paid version. If you only need the free version, you are welcome to create an account without going through the ITS Help Desk.

However, if you need to have active phone service available in Webex and need your desk phone number linked to Webex to be able to make and receive calls from the Webex app on your computer, this is a paid feature and all Webex account creation for this must go through the ITS Help Desk. Please do not complete the following steps until after reaching out to and hearing back from ITS.

Download

Step 1: Navigate to https://www.webex.com/downloads.html.

Step 2: Select the download option in green that fits the device you are using. For Windows computers, select the For Windows (64 bit) option.

For Macs, select the option that corresponds to the chip-type in the computer. To find this information, click the Apple logo in the top-left of your screen and select the top option in the drop-down menu for About This Mac. In the small window that opens, note what is to the right of the Chip label. If it appears similar to the example photo below, mentioning "Apple", download the Webex option For macOS (Apple silicon chips). If it instead mentions "Intel", download the Webex option For macOS (Intel chip).


Step 3: Open up the install file in the downloads folder of your device.

Step 4: Let the installer run and the application should open to the initial screen, as shown below.

Login

Step 1: To login to your Webex account, begin by clicking the Sign In button.

Step 2: A prompt on a black background should appear asking for your email address. This will require the Bethel email address corresponding to the Webex account you are attempting to login to. For most employees, this will be their personal Bethel email address, but for employees signing into a call center or shared phone line, it may be a departmental email address. Please check with your department supervisor or email the ITS Help Desk if you are unsure.

Note: If a Webex account does not currently exist under the email address you provided, it will display an error as shown below. Please email the ITS Help Desk if you expect the email address you are attempting login with to have an existing account. Please do not continue further in the prompts to sign up for Webex outside the Bethel system. All Webex account creation must go through the ITS Help Desk and Evolve IP.

Step 3: The next screen should display a prompt on a white background for both a username and password. This will require the Evolve IP (Bethel's phone vendor) email address associated with the phone number and the password that has been assigned to the Webex license. The email address for this screen will not be a Bethel email address. The email address will always be the Bethel phone number you are attempting to use via Webex, ending with the email signature @voip.evolveip.net. For example, if your Bethel phone number is 651-638-6500, the username on this screen will be 6516386500@voip.evolveip.net (replace this example with the full number of the phone line you are attempting to use).

The password will either be provided by Evolve IP upon initial account setup or by a member of the ITS Network Services staff, who are able to reset Bethel Webex passwords within Evolve IP's remote system. If you do not know your password or require a new password, please email the ITS Help Desk requesting assistance with this.

If the username or password are incorrect, it will display an error as shown below. Email the ITS Help Desk if you expect the username and password you are attempting login with to be valid.

Step 4: If login is successful, the next screen show appear as shown below. You are now logged in and able to use Webex for inbound and outbound phone calls.
